License and Case Decision Notification Service Information

What is the License and Case Decision Notification Service?

The Department of Health Professions, DHP, is working with the Virginia Interactive, VI, to offer an online alert notification service. The License and Case Decision Notification Service allows entities to track on a daily basis, Sunday through Friday, license status changes and notice of proceedings for all health professionals licensed in the Commonwealth of Virginia.

Why would I use it?

The License and Case Decision Notification Service has a number of benefits to its subscribers. It will notify subscribers of license status changes and notice of proceedings quicker than any other notification system currently in use within Virginia. Through this information subscribers will be able to reduce their liability of having an unlicensed health professional practicing at their facilities. A subscriber will be able to proactively ensure their health professionals are aware immediately of a change in license status. A subscriber will know when an action related to a proceeding has occurred. The service will greatly reduce the amount of effort required when preparing for an audit.

How does it work?

Users of the service create a profile of licensees they wish to track. The Department of Health Professions’ database is queried daily, Sunday through Friday, for changes to the health care providers’ records that are related to licensing or disciplinary proceedings. A change in an individual’s record prompts an alert, which is sent to any email address(es) as identified in the profile. There can be as many as six (6) email addresses identified in any one profile.


How would I receive alerts?

The alerts can be sent to an individual’s PC, pager, Personal Digital Assistant (PDA), or any device that has an email address. Alerts that match the information in the user’s profile will be sent to the email address(es) specified. Alerts can be a short test message sent to a Personal Digital Assistant (PDA), cell phone, or pager. Additionally, an alert and report may be sent to a computer in HTML or CSV format.

How often will I receive alerts?

You will receive your first alert within 24 hours of signing up for this service and creating your profile, should there be a change in any of the licensees in the new profile. One additional update will be received daily, Sunday through Friday, if changes are detected in the DHP‘s database for licensed professionals defined in your profile. If no changes are detected, no alert will be sent.

How much does the service cost?

First, you will need to become a VI Premium Service Subscriber. Your VI Premium Service Subscriber annual fee is included in the annual fee. In addition, being a VI Premium Service Subscriber will entitle you to a number of other services. (see What additional benefits do I receive as a VI Premium Service Subscriber below)

How can I sign up for this service?

Individuals wishing to use the License and Case Decision Notification Service will need to become VI Premium Service Subscribers . This service requires the signing of a Service addendum in addition to the Premium Service Subscription Agreement. Subscribers will be issued a unique login ID and password that allows them to access a Web site where they may create a profile to specify which licensees they wish to track and determine which email address(es), up to six, to which they wish to have alerts sent. If you are a current subscriber, you merely need to complete the Service addendum and submit it to VI Customer Service. Access will be granted upon receipt of the addendum.
